VACANCY ANNOUNCEMENT

Hertford County is seeking to fill the following full-time position in governmental operations:

SENIOR ADMINISTRATIVE ASSISTANT II 
(Inspections/ Zoning Department)

General Definition of Work

Performs a variety of highly responsible, complex, and confidential administrative support functions; Work is performed

independently, under general supervision of the department head.

Essential Functions/Typical Tasks

Work involves identifying solutions and alternatives within established policies requiring analytical thought and has contact

with the public, top level officials and department heads.

Independently respond to routine letters and general correspondence; Compose, type and edit correspondence requiring judgment as to content, accuracy and completeness;

Screens and refers callers; provides detailed responses to information requests and questions about programs and activities; ensure correct information is disseminated; respond to complaints or refer to appropriate source;

Type, proofread and edit documents, presentation materials and other materials for accuracy; arrange for or distribute materials;

Order, receive, inventory and distribute supplies; contact vendors and suppliers as needed, maintain related records; Receive and distribute incoming mail; review and evaluate mail to identify those items requiring priority attention; Initiate and maintain a variety of files and records for information related to department including financials, budget, personnel, operational and administrative records; maintain, update and track fixed assets;

Operate modern office equipment, including printers, copiers, postage meters, fax machines, etc.; routinely utilize full range of word processing, spreadsheet and databases and other office software applications;

Organize and maintain the flow of communication within the department in an efficient and effective manner with staff, the general public and others;

Formulate and monitor departmental budgets; initiate and prepare purchase requisitions for department; ensure items are posted correctly;

Oversee assigned work activities and projects; evaluate work products, methods, and procedures; may supervise, direct and review work of assigned staff;

Knowledge, Skills and Abilities

Considerable experience in providing administrative support to senior management staff, excellent oral and written communication skills, professionalism and diplomacy; outstanding interpersonal and telephone mannerisms proficiency in computer skills; strong organizational skills and proven ability to exercise good judgment on a consistent basis; ability to exercise considerable tact and courtesy in frequent contact with public officials, news media representatives and general public.

Education and Experience

Associate’s degree in secretarial sciences and five to six years of experience in administrative work, or any equivalent

combination of training and experience which provide the required knowledge, skills and abilities.

Physical Requirements

This is light work requiring the exertion of up to 20 pounds of force occasionally, up to 10 pounds of force frequently and a negligible amount of force constantly to move objects; work requires stooping, kneeling, crouching, reaching, standing, working, pushing, pulling, lifting, fingering and repetitive motions; vocal communication is required for expressing or exchanging ideas by means of the spoken word and conveying detailed or important instructions to others accurately, loudly or quickly; hearing is required to perceive information through oral communications and to make find distinctions in sound;


 

visual acuity is required for preparing and analyzing written or computer data, operation of machines, operation of motor vehicles or equipment, to determine accuracy, neatness and thoroughness of work and to observe general surroundings and activities; worker is subject to inside environmental conditions.

Annual Salary Range:

$31,702-40,421
